CHEST No Show Policy

Background

CHEST recognizes the current difficulties with traveling. We ask that any presenters who are unable to attend give advance notice to the Congress Secretariat. Presenters who do not attend the Congress with no prior communication of their absence cause considerable disruption and gaps in the scientific program’s objectives. Therefore, the following No Show policy has been set to regulate the presentation registration, removal, and no show processes.

Pre-Congress Steps

To avoid No Show e-Posters or Oral presentations onsite, three (3) notifications will be sent to the corresponding presenters.
1. The first email contact will indicate that the abstract has been accepted as e-Poster or Oral presentation and will indicate the deadline to confirm and to register for the congress.
2. A 1st email reminder will be sent to the corresponding author following the first notification if he/she has not yet registered.
3. A 2nd email reminder will indicate that the e-Poster or Oral presentation and all associated printed/electronic materials will be removed from the program if the presenting author’s registration is not completed by the given deadline.
4. In accordance with the Congress 2022 Chairs’ initiative, accepted abstracts have been given an additional chance to remain in the program following the above notifications by an additional email notification stating the submission may remain in the program as an e-Poster if the presenting author is registered by the deadline indicated.
Should the corresponding author be unable to attend the Congress, a registered co-author may present the e-Poster or Oral presentation instead with notice to the Congress Secretariat.

Notification to Companies

Kenes will advise companies about the No Show policy and companies will be asked to provide a registration list one month prior the Congress.
ONSITE

Oral Presentations

There will be no option for onsite registration for Oral presentations. All Oral presentations in the scientific program must be confirmed and registered in advance.

E-Posters

E-posters will not be displayed during the Congress if the author has not registered by the provided registration deadline.

Post-Congress

The CHEST Congress Secretariat will identify No Show presenters and send notification emails after the Congress to all such authors. The same applies to Oral contributors who were not present at the Congress.
The CHEST Congress Secretariat will manage a list containing details of said participants and share this information regularly with the CHEST Board.
Should an author of a previous No Show e-Poster or Oral contribution submit an abstract to the following CHEST Congress, a warning will be sent acknowledging that he/she was a No Show at the previous Congress. Should the situation repeat itself, the corresponding author will be excluded from abstract submission for the next CHEST Congress.
Note: Participants may have legitimate reason for their absence. In such instances, excuses will be arbitrated on a case-by-case basis and the CHEST Board shall instruct the CHEST Congress Secretariat whether to approve or decline the request.
